Following a recent report which revealed that Google may soon allow free Gmail account users to choose a new username, Google has now officially confirmed its rollout in the USA.

Read more about it below.

As mentioned, Google, in a blog post, has officially confirmed that Gmail users whose email ends with @gmail.com, including those on the free plan, will now be able to change their username. Some users might have doubts regarding what will happen to the older email; well, it will continue to remain with the user, and no one else will be able to claim it. For those who are unaware, a similar feature is already available for paid Google Workspace accounts. In which users can have multiple aliases and emails sent to them will land in the same mailbox.

Speaking more, the newly created username cannot be changed again for the next 12 months, and the original username will remain as an alternative. But paid Google Workspace account users are allowed to make multiple changes to their username.

Play video

As stated above, this feature is currently rolling out to Gmail users across the USA. While the official announcement page does not mention anything regarding a global rollout, it is expected to arrive in other regions as well, including India. Additionally, as per a Google support page (Hindi), users whose email ends with @gmail will be able to change their alias up to three times, with a gap of 12 months between each change.

Here is how you can change it via your desktop/mobile device:

Visit myaccount.google.com/google-account-email using your smartphone or computer, and sign in if prompted.

At the top, tap on “Personal info”, then “Email”, and then “Google Account email”.

Under “Google Account Email”, tap on “Change Google Account email address”.

After this, enter your new alias, which cannot be changed again for the next 12 months.

Follow the on-screen instructions, confirm, and submit.

Stay tuned for more updates!

A new report from 9to5Google suggests that Google may soon allow users to add aliases to their existing Gmail addresses. In simple terms, this would let users change their Gmail username without having to switch mailboxes. So, if you previously chose a username you no longer like—or simply want something cleaner or more professional—you could add a new alias, with all emails continuing to arrive in the same inbox as before.

For those unfamiliar, this feature is currently limited to paid Google Workspace users. However, the report indicates that Google may soon roll it out to free Gmail accounts as well. Similar to how it works for Workspace users, once the change is made, the original Gmail address becomes an alias. This means users can receive emails sent to both the old and new addresses in a single inbox and sign in using either one. Importantly, all existing data—including emails, photos, and messages—remains completely unaffected.

Additionally, a Google support page (available in Hindi) provides further details. Users will be able to change their Gmail address up to three times, allowing a total of four addresses per account. After a change, the email address cannot be modified or deleted for 12 months, and users will not be able to create another new Gmail address during that period. The original Gmail address remains permanently linked to the account, cannot be claimed by anyone else, and may still appear in older services, such as previously created Google Calendar events.

Security is definitely important nowadays, especially when cybercriminals are constantly trying to get their hands on your personal information. While security measures are essential, they can sometimes become a nuisance.

For instance, if you’re using a paid Gmail Workspace account and a user is unable to sign in, receiving a message that says, “Go back & use your corporate mobile device,” it’s likely because Google has identified a specific device as the primary one associated with that account. As a result, any sign-in attempts from other devices may be flagged as unusual.

The full error message reads:

“We detected an unusual sign-in attempt. To make sure that someone else isn’t trying to access your account, your organization needs you to sign in using your corporate mobile device (the phone or tablet you normally use to access your corporate account).
If you don’t have your corporate mobile device with you right now, try again later when you have your corporate mobile device with you.
If you continue to have problems signing in, contact your administrator. Learn more
Go back & use your corporate mobile device.”

Here’s a simple fix:

Sign in to the Admin Console using your main or super admin account (the one used to create the Google Workspace account).

In the left-hand menu, click on Directory, then select Users.

From the list of users, click on the account that’s experiencing the issue.

Navigate to the Security section and click on Login Challenge.

You’ll see an option that says “Turn off for 10 minutes.” Click on it.

Now, try signing in to the user account again—it should work without the error.

Google has upgraded Gmail’s search feature with AI to help users find emails faster. The new “most relevant” search results feature prioritises emails based on more than just recency. Previously, Gmail showed search results in chronological order, making it hard to find important messages. Now, Gmail ranks search results based on how recent the email is, how often the email is clicked, and frequent contacts. This AI-driven update ensures that important emails appear at the top, reducing the time spent searching.

Last week, Google introduced another useful update. Users can now add events directly to their calendar from an email, avoiding the need to manually enter details. When Gmail detects event-related content, an “Add to Calendar” button appears. Clicking it opens a side panel to confirm and save the event. Currently, this feature is available in English and on the web, with a full rollout expected by mid-April 2025. It is available for Google Workspace Business and Enterprise customers, as well as users with Gemini Education, Google One AI Premium, and Gemini Business/Enterprise add-ons.

The “most relevant” search results feature is rolling out globally for personal Google accounts on both the web and Gmail mobile apps (Android and iOS). Users can switch between “most relevant” and “most recent” search views. Currently, the update is for personal accounts, but Google plans to expand it to business and enterprise accounts soon. With these improvements, Gmail makes searching for emails easier and event management more seamless, helping users stay organised and productive.

Remembering event details from an email can sometimes be difficult, especially when you have more than one event aligned on the same day. Well, Google has now come up with an amazing solution for this issue: The event details will be added to your calendar directly from your email.

Google officially announced yesterday that users can now add an event to their calendar directly from an email, apart from asking Gemini in Gmail to perform calendar-related actions or answer questions about their calendar.

Gemini will automatically detect calendar related content in your email and an “Add to calendar” button will appear. When a user clicks this option, the side panel in Gmail will open to confirm the event has been added to your calendar. Admins can enable “Add to Calendar” by switching on smart features and personalization from Workspace Admin console. This feature is only available in English and on web at this time.

Also, end users should note that the “Add to Calendar” button will not appear for emails with already extracted events (restaurants, flights, etc) and a calendar event created via the Add to Calendar button will not include other guests.

The rollout of this feature started yesterday and the completion of rollout is expected by mid-April 2025. It will be available for Google Workspace Business and Enterprise tiers, customers with Gemini Education or Gemini Education Premium add-on, Google One AI Premium, and users who have purchased Gemini Business and Gemini Enterprise add-ons.

With the help of Confidential Mode, you can send messages and attachments with Gmail’s confidential mode to help protect sensitive information from unauthorized access. Users can also set an expiration date for their messages or revoke access at any time. Though users should remember that this mode helps prevent recipients from accidentally sharing your email, it doesn’t prevent recipients from taking screenshots or photos of your messages or attachments. Whereas recipients who have malicious programs on their computer may still be able to copy or download the emails.

How To Send Messages And Attachments in Confidential Mode?

On your device, go to Gmail.

Tap Compose.

In the top right, tap More > confidential mode .

If you’ve already turned on confidential mode, go to the bottom of the email, then click Edit.

Set an expiration date and passcode. These settings impact both the message text and any attachments.

If you choose “Standard,”recipients using the Gmail app will be able to open it directly. Recipients who don’t use Gmail will get emailed a passcode.

If you choose “SMS passcode,” recipients will get a passcode by text message. Make sure you enter the recipient’s phone number, not your own.

Tap Done.

How To Open Email Sent With Confidential Mode?

If the sender used a confidential mode to send the email:

You can open the message and attachments until the expiration date or until the sender removes access.

Options to copy, paste, download, print, and forward the message text and attachments will be disabled.

You might need to enter a passcode to open the email.

For all those who use Gmail or an email app, spam messages are the biggest problem. Obviously, there are a lot of apps or newsletters that ask for a user’s email and the minute you provide that your email account is filled with spam messages. To overcome this issue many temporary email apps were introduced but they arrived with their own issues.

Google also tried to introduce many spam protection features for Gmail but still sharing primary email addresses is not devoid of risks. Seems like the company might soon come up with a permanent solution as a new Shielded Email feature was spotted by Android Authority in the Autofill settings menu.

This feature was also found while performing a teardown of Google Play services version 24.45.33 APK. It is said that the Shielded Email feature will allow users to keep their email address private by generating an email alias where an application asks a user to provide their email address. This feature is said to consist of a system to create single-use or limited-use email aliases that will forward messages along to your primary account.

The shielded Email feature seems to be similar to Apple’s Hide My Email feature. Other details regarding the availability of this feature and how this feature will be implemented are still a mystery but we may get to come across these details soon.

Google has been introducing new features and tools for Gmail Workspace to enhance the user experience so that they can easily carry on with their work with just a few clicks. Today the company has once again arrived with a new feature for Gmail workspace that will help users in managing their communication including emails in Google Chat.

Got an important email 📧 to share with your project team?

The feature introduced is- One-Click email forwarding to spaces in Google Chat. Want to know how this feature is helpful?

One-Click Email Forwarding To Spaces In Google Chat

This feature is way more helpful for users working in the project team as a space manager just needs to generate an email address for a space, members (or anyone in your domain with the email address) can send or forward any email to that space. This will provide a great way for teams to easily triage or discuss email content with stakeholders within the space. The email will appear as a clickable card showing a snippet of the email in a designated space.

This email integration into space will allow users to choose the communication style that works best for their team. This feature will be made available to all Google Workspace customers.

How to generate an email address from a space?

Do remember that only Space managers can generate email addresses.

On your computer, open Google Chat or Gmail

Open Space you want to generate an email for

Select the space name at the top of the Chat

From the drop-down menu, click Space settings

Under Email, click Generate Email+

“Generate email” creates a space email address for you. This space email is backed by a Google Group email address.

Space managers can: Update space email settings and customize email address

To send emails to the space, copy and paste the generated email address into the “to” or “cc” of the email you want sent to the space.

Mobile users can view and copy the space’s email address to send emails to space, but they can’t generate or manage email address

Space managers added after email is created can disable the email, but can’t delete the email unless they’re an owner in Google Groups.

Currently, this space email can’t be used to invite a space and its members to a Calendar event. Users can update a space email address while it can also be disabled or deleted if not needed.

Other than this, a new update is being rolled out for Gmail that features a new design and a “Quick Reply” Option for users.

Well with this new “quick reply” feature, users need not to reply emails by following the steps to open full screen compose an email. A text box appears at the bottom of the screen as can be seen above with the option to reply, reply all, and forward. The text box of the new UI has a button to attach a file, a dropdown to edit the list of recipients or reply to all senders, the aforementioned text box to draft short messages, and an emoji button to react to emails. This new update is being rolled out to Android users gradually.

Prioritising privacy is very important in today’s world which relies thoroughly on digital communication. In this regard, Gmail offers the option of protecting Gmail messages in confidential mode. Whether you are an administrator or a regular Gmail user, you can use Gmail confidential mode.

For administrators: You can avail of Gmail confidential mode in all Google Workspace editions. With this mode, your users will be able to protect sensitive information from unauthorized or accidental sharing, as they don’t have the option to forward, copy, print, or download messages or attachments. You can set a message expiration date, revoke messages whenever you want, and put up a verification code by text to open messages, with the Confidential mode.

However, note that screenshots or photos of the messages can be taken.

You can turn Gmail confidential mode on or off for your organization by following these steps:

Sign in to your Google admin console.

Go to Menu > Apps > Google Workspace > Gmail > User settings

In user settings, scroll to Confidential mode.

Uncheck or check the Enable confidential mode accordingly.

Save your changes.

On the other hand, to turn Gmail confidential mode on or off for an organizational unit, you will have to select the organizational unit on the left after going to User settings. Scroll to confidential mode and check or uncheck the ‘Enable confidential mode’ box accordingly. Click Save.

You can also block incoming confidential mode messages from your domain, by following these steps:

Sign in to your Google Admin console

Go to Menu > Apps > Google Workspace > Gmail > Compliance

Select the Content compliance setting and click Configure. If compliance rules already exist for other types of mail, point to any rule and click Add another rule.

In the Add setting dialog, enter the following information:

Enter a name for the rule

In the Email messages to affect, check the Inbound box.

From Add expressions, choose If any of the following match the message.

In Expressions, click Add, and then select Metadata match.

From the Attribute drop-down, choose Gmail confidential mode, and for Match type, choose Message is in Gmail Confidential mode.

Click Save.

After that, choose ‘Reject message’ in the next section, which identifies what to do if the expressions match.

Set a custom rejection message which is automatically sent to the blocked message sender.

Click Save.

It is to be noted that changes can take up to 24 hours to happen.

For Gmail Users:

With Gmail’s confidential mode, you can protect sensitive information in your messages and attachments from unauthorized access. You can set an expiration date for messages or revoke access whenever needed. Note that, recipients of the confidential message won’t have the options to forward, copy, print, and download.

You can send messages and attachments confidentially by following these steps:

Log in to your Gmail account on your computer.

Click compose.

Click Toggle confidential mode on the bottom right of the window.

(If confidential mode is already turned on, go to the bottom of the email, then click Edit.

Set an expiration date and passcode. This is applicable to the message text as well as attachments.
